Automatic notification emails can be edited to include your specific wording and/or branding.
These emails can be edited by:
- Going to Account > Email.
- Choose the email you would like to edit, make your edits and hit save.
Each email can be edited for all the languages Litmos supports. These emails also support the use of HTML.
Note: The ability to edit these emails is only available to Users with Account Owner access role.
Note: The use of HTML in an email may increase the chances of the email being marked as spam.
Note: Placeholders are specific for each email template and may not transfer to other email templates. Please see the side bar of the email template for the available placeholders.
This email is sent to the Learner when the admin/manager/or specific person has approved or rejected the request. The Object Name placeholder is the Course Title.
This email is sent to Administrators who are listed to receive emails in the Alerts tab of an Assessment when a learner completes that Assessment.
This email is sent to the Learner when they need to complete a boost. Boost settings are available in the Course Settings.
This email is sent to Administrators who are listed to receive emails in the Course Notification section of Course settings when a learner completes that Course.
Course Compliance Overdue Reminder
This email is sent to Learners who are assigned to a Course that has a Compliance Date. This email can be sent Manually when the Bulk Action to send a Compliance Reminder Email has been set and the user has fallen out of compliance.
Course Compliance Reminder
This email is sent to Learners who need to complete a course by a specific date in order to be compliant. This email sent sent by selecting Learners in the People sub tab of a course and selecting "Send Due Date Reminder" from the Perform a bulk action on selected people. Or by having the "Automatic Retake" set within the course's settings.
Course Due Date Reminder
This email is sent to Learners who have a due date for a specific course. This email will be sent automatically when the Automatic retake has been set in the Compliance section of a Course's settings. Or by selecting Learners in the People sub tab of a course and selecting "Send Compliance Reminder Email" from the Perform a bulk action on selected people.
Daily Marking Required Digest
This email is sent to Account Owners, Administrators, and Team Leaders/Admins* (who have created the course)*. Any courses containing modules that require the admin to mark it complete: assessment free text question, learner upload, video assessment, and checklist module; will be available on this list. This email is sent each day. The link will navigate to the marking required section of the account.
Event/ ILT Reminder
This email is sent to Learners who have an ILT session approching. This email will be sent automatically when the "Reminder" email has been set for the session the Learner is registered for.
New Course Assigned
This email is sent to Learners who have been assigned to a new course. This email is sent by having the box "Send email notifications" checked when assigning a Learner to a Course.
New Discussion Post
This email is sent to Learners and Administrators when someone posts on a forum they are assigned to. In order to send the notification, the setting must be set in the user's profile to recieve these notifications.
New learning path assigned
This email is sent to Learners who have been assigned to a new Learning Path. This email is sent by having the box "Send email notifications" checked when assigning a Learner to a Learning Path.
New user welcome Message & Login Link
This email is sent to new Learners who have not logged into the system. This email is sent by sending the user an email upon the creation of the user, by selecting "Send login emails" from within the user's profile, or by using the "Send login emails" on the People tab.
This email is sent to all users who have reset their own password or an Administrator has reset the password for them. This email is sent by using the "I forgot my username and password" link on the Login Page or by an administrator selecting "Reset password" from within a user's account.
Note: The link in this email will expire after 1 use. If the link is not used within 24 hours of being sent, it will expire.
People Assigned to a Team
This email is sent to all users who have been assigned to a new team. This email is sent by having the box "Send email notifications" checked when assigning a Learner to a Team.
This email template is sent to users who's enrolment request has been rejected, along with the rejection reason.
Request for Approval
This email template is sent to either course or ILT enrolment approvers, as specified in either the ILT module and/or the course settings pages.
(In addition, an approvals widget can be placed on to the Admin and Learner dashboards).
This email template is sent out to learners to let them know when a course that has been assigned to them via a learning path has been released via timed release. Timed releases of courses start counting from when the learning path was assigned.
Create separate email templates that can be used to set to different users based on their Brand (for more information on Brands see article). To create a new Email Template:
- Select “Create New”
- Give the template a name, select the Template type, and give a reply to address and click “Save”. The template type will determine the purpose of the template and when it will be sent. The template type cannot be changed once the template has been created. See above for more details.
- Edit the email body and any other attributes and click “Save”.

Mobile Text (SMS) Notifications
Each Email Template also includes a setting and field to enable sending a Mobile Text (SMS) notification to users along with the email notification. In order for a user to receive a mobile text (SMS) notification a user must:
- Have a valid mobile phone number in the “Mobile phone” field in their profile. Users can edit their own mobile phone number in their profile as well as Admins.
- Valid mobile phone need to include the international country code in the mobile phone number. This includes numbers in the United States (e.g. +14155552671) and Australia (e.g. +61412345678).
- Have the option for “Enable Text notifications” must be checked (ticked) in their profile.
